Who we are

H William Plumbing Services is responsible for deciding how personal information collected through this website and our enquiries is used. This makes us the data controller under UK data protection law.

Information we use

We receive information directly from you when you use our enquiry form, email us or speak to us by telephone. The form asks for your name, email address, chosen service and message. You may also provide a telephone number and postcode.

We use the details you provide and any related correspondence to understand the work, prepare a quote and handle your enquiry. Please include only information relevant to your request, and avoid sending sensitive personal information through the form.

Our hosting provider, Netlify, processes technical information needed to deliver and protect the website. This may include your IP address, browser information, the page requested and request times in service or security logs.

The website stores browser preferences and offers an optional Google Maps service area map, as explained in our cookie policy. The map stays blocked until you allow Google Maps. Once loaded, Google can receive your IP address, browser details and interactions with the map, and may use cookies or similar technologies. We do not install website analytics or advertising scripts, and our fonts are served with the website.

Why we use your information

UK data protection law requires a lawful basis for using personal information. The basis depends on the purpose:

• Enquiries, quotes and agreed work: taking steps at your request before entering into a contract, or carrying out a contract with you.
• General enquiries and business correspondence: our legitimate interests in answering questions, communicating with customers and managing the business. This also applies when you contact us on behalf of an organisation.
• Website security and reliability: our legitimate interests in providing a working website, preventing spam and misuse, and resolving technical problems.
• Required records and legal requests: meeting a legal obligation where one applies, for example retaining records required by tax law.
• Optional storage and Google Maps: your consent to remember appearance preferences, remember the enquiry reminder or load the Google Maps service. You can choose these purposes separately.

Our legitimate interests are balanced against your rights and expectations. The required form fields help us understand and respond to your request; without sufficient contact details or a description, we may be unable to do so. You can also contact us by telephone or email. Sending an enquiry does not subscribe you to a mailing list.

We do not use this website to make decisions about you that have legal or similarly significant effects based solely on automated processing.

Sharing and international transfers

Netlify provides website hosting and processes and stores submissions through Netlify Forms on our behalf. Email and communications providers also process messages when you contact us or we reply. Where necessary, information may be shared with professional advisers or public authorities to meet legal duties or deal with a legal claim.

Netlify and its service providers may process information outside the UK, including in the United States. Netlify’s Data Processing Agreement describes its transfer safeguards, including the UK Extension to the EU–US Data Privacy Framework and, where applicable, standard contractual clauses with the UK addendum. If you allow the map, Google processes map-related information under its own privacy policy. This explains Google’s purposes, retention, international processing and privacy controls. Your Google account settings may also affect how Google handles that information.

You can contact us to ask about the providers handling your information and the safeguards that apply to an overseas transfer.

How long we keep information

We keep enquiry details and correspondence for as long as needed to respond, follow up on requested work and manage the resulting customer relationship. Relevant records may need to be kept longer to meet accounting or other legal obligations, resolve a dispute or establish, exercise or defend legal claims.

The period depends on the nature of the enquiry, whether it leads to work, applicable record-keeping requirements and any ongoing issue. Information should be deleted or anonymised when it is no longer needed for these purposes. Contact us if you would like to ask about a particular record.

The cookie policy gives separate lifetimes for information saved in your browser.

Your data protection rights

Depending on the circumstances, you can ask us to:

• Give you access to your personal information and a copy of it.
• Correct information that is inaccurate or incomplete.
• Delete information, or restrict how it is used.
• Provide information you supplied in a portable format, where the right to data portability applies.

You can object to processing based on legitimate interests. Where we rely on consent, you can withdraw it at any time without affecting the lawfulness of earlier use. These rights are subject to the conditions and exemptions in UK data protection law.

You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator. Visit the ICO complaints page for guidance. You can raise any concern with us first so we have the opportunity to address it.

Browser choices and updates

You can accept or reject optional browser storage and Google Maps, or choose each purpose separately. Use Cookie settings in the footer to change your choice or withdraw consent. Withdrawing map permission removes the embedded map and prevents it from loading again unless you allow it. It cannot undo information already received by Google or remove cookies held on Google’s domains; use Google’s privacy controls or your browser settings for those. Refusing optional features does not prevent you from browsing, calling us or sending an enquiry.
